Every WordPress site needs a form sooner or later — at the latest when bookings, applications or payment processes are added, a simple contact form is no longer enough. Three plugins dominate the market in 2026: Fluent Forms, WPForms and Gravity Forms. In my training sessions and client projects I use all three regularly — but they differ considerably in price, performance and feature set. This comparison is aimed at solopreneurs, small businesses and agencies facing the form decision who want to know which plugin fits their budget and their technical requirements.
Fluent Forms (a very generous free tier + Pro from around $79/year per domain): a native, lean WordPress plugin from WPManageNinja. Built for performance — no unnecessary jQuery ballast, no bloated front end. Conditional logic, multi-column layouts and basic Stripe/PayPal payment are already included in the free tier.
WPForms (Lite free + paid from $49.50/year Basic up to $299.50/year Elite): the market leader, above all in the US, known for its huge template library and the easiest onboarding of all. Conditional logic is only available from the Basic plan.
Gravity Forms (purely commercial, from $59/year Basic up to $259/year Elite): the agency and developer favourite. No free tier, but by far the most powerful add-on ecosystem for complex form logic.

Fluent Forms — my first recommendation for most WordPress sites
Strengths: Fluent Forms is built as a native PHP plugin without unnecessary external dependencies — and you notice that in the loading time. With 35+ field types, conditional logic, multi-column layouts, spam protection and over 15 integrations, the free tier is already entirely sufficient for most solopreneur websites. The drag-and-drop builder is modern and intuitive, and Pro licences cost considerably less than the competition — without central functions being artificially pushed into higher tiers.
Weaknesses: With around 65 layouts, the template library is modest compared with WPForms. The third-party add-on ecosystem is smaller than Gravity Forms's — for very specific enterprise integrations (niche CRMs, for example) a ready-made add-on is sometimes missing. Awareness in German-speaking countries is also still lower than for the two more established competitors, so there are correspondingly fewer German-language tutorials and community forums at present.
When to choose Fluent Forms: for the vast majority of my clients — service provider sites, coaches, small shops, associations, booking forms. When performance and value for money come first and no extremely specialised add-on is needed.
WPForms — the easiest way in for beginners
Strengths: No other form plugin makes the first step so easy. The setup wizard, the 2,000+ templates and the clear, tidy interface make WPForms the first choice for anyone who has never used a form plugin. It is extremely widespread in the US market in particular, so the community and the number of tutorials are correspondingly large.
Weaknesses: Conditional logic — a basic function that Fluent Forms already offers free — is only available in WPForms from the paid Basic plan. The pricing structure with four tiers (Basic, Plus, Pro, Elite) quickly becomes expensive as soon as you need payment integrations or marketing connections — and the low introductory prices often apply only in the first year, after which renewal prices rise noticeably. Anyone starting with the free Lite plan hits a paywall very quickly for most practically relevant requirements.
When to choose WPForms: for absolute beginners without a technical background who value a large template selection and are willing to pay for basic functions like conditional logic. Also practical when an existing US agency or US theme already includes WPForms.
Gravity Forms — the agency and developer favourite
Strengths: No form plugin offers such a mature add-on and developer ecosystem. Complex multi-step forms, workflow automations, deep CRM and payment integrations and a clean PHP API make Gravity Forms the standard in agency projects with individual requirements. The hook structure is excellently documented for developers.
Weaknesses: No free tier — you pay from the first form. At $59/year in the Basic plan and up to $259/year in Elite, Gravity Forms is the most expensive of the three in its basic configuration, and many useful add-ons cost extra on top. The learning curve is noticeably steeper for non-technical users than with the other two plugins.
When to choose Gravity Forms: agencies and developers building complex, individual form workflows — multi-stage application processes, deep API integrations, client-specific calculations. Less suitable when budget or technical know-how are limited.

One point that appears in none of the three tables but is often overlooked in practice: spam protection at form level does not replace website security. All three plugins offer honeypot and reCAPTCHA options against form spam — but that does not take care of securing your WordPress installation against attacks. Important: with WPForms the prices given are usually reduced introductory prices for the first year — renewal can be considerably more expensive. With Fluent Forms all Pro functions are already included in the cheapest plan; the difference between tiers lies only in the number of domains.
Who is each one suited to?
Beginner/solopreneur: if you are setting up a form plugin for the first time and have no budget for ongoing licence costs, Fluent Forms is the most pragmatic choice — conditional logic and basic payment come free, and the drag-and-drop builder is quickly understandable even without prior knowledge. Anyone who prefers to start with a huge template selection, likes being led by the hand and is willing to pay for basic functions is also well served by WPForms.
Small business: as soon as booking forms, multi-step enquiries or a Stripe/PayPal integration come into play, Fluent Forms Pro clearly pays off on price — the full feature set at a fraction of the cost of WPForms Pro or Gravity Forms Pro, and the domain-based licence suits companies with only one or a few websites. Anyone already deeply anchored in the WPForms ecosystem (through an existing theme or an agency that supplies WPForms) often stays out of convenience — as long as the budget for the higher tiers is there.
Agency/enterprise: for complex, individual form workflows with deep API connections, several developers in the team and a budget for add-ons, Gravity Forms is the industry standard — the investment in the steeper learning curve pays off here through the flexibility, especially when several client websites are managed centrally via add-ons and a uniform developer framework.

WPForms remains my recommendation for absolute beginners who want the simplest onboarding process and the largest template selection and are willing to pay for basic functions. I continue to recommend Gravity Forms where things get genuinely complex — agency projects with individual workflows and deep integrations, where the powerful add-on ecosystem justifies the higher price.
Frequently asked questions
Can I switch from one plugin to another later?
Technically yes, with limitations. All three plugins offer import functions for common formats, but complex conditional logic rules and add-on-specific settings usually have to be rebuilt manually. Switching with a few forms is done in an afternoon; with extensive setups, plan a whole day.
Is the free version of Fluent Forms genuinely usable in practice, or just bait?
Genuinely usable. Unlike WPForms Lite, conditional logic and a basic payment integration are already included in the free tier — for many simple websites that is permanently sufficient.
Which plugin do you use yourself on wptraining.at?

Do all three plugins work with Elementor?
Yes, all three offer native Elementor widgets or shortcode embedding. Rendering in the page builder is reliable with all three.
Do I need an additional payment plugin such as WooCommerce for payment forms?
No, for simple one-off payments (a deposit or a fee, for example) the Stripe/PayPal integration of the form plugins is enough. For a complete product shop with a cart, shipping and stock levels, WooCommerce remains the right choice.
How does the choice of form plugin affect GDPR compliance?
All three store form entries locally in the WordPress database on your server by default — that is more GDPR-friendly than many external form services. Additionally, make sure you have an explicit consent checkbox and a sensible deletion period for old entries.
Does a form plugin noticeably slow down my website?
Barely measurably, as long as you embed only one or two forms per page. The difference shows more on form-heavy pages with many embedded forms at once — here Fluent Forms is noticeably ahead thanks to its leaner code base, while add-on-heavy Gravity Forms setups tend to load more scripts.
